The check-in queue is where events live or die. You've done the hard work — the planning, the promotion, the registrations. Don't let the first five minutes of the event undo it with a slow, manual process. Here's how to make arrival seamless.
What You Need on Event Day
- A smartphone or tablet — Android or iOS, with the Tikkit app installed
- Charged device — take a portable battery if you're at an outdoor or remote venue
- Internet connection — preferred but not required (see Offline Mode below)
- Tikkit check-in open — log into your dashboard and open the event's check-in screen before guests start arriving
That's it. No scanner hardware. No printed lists. No highlighter pens.
How Tikkit's QR Check-In Works
Every registered attendee receives a unique QR code in their confirmation email and on their Tikkit profile.
When they arrive:
- They show their QR code (on their phone or printed)
- You tap Scan QR on the check-in screen
- Aim your camera at the code
- The attendee's name and ticket type appear in under a second
- Tap Check In — they're marked as arrived
The whole interaction takes 3–5 seconds. With a good setup you can process 20–30 people per minute per device.
Offline Mode — For Venues Without WiFi
Many of the best event venues in Pakistan — farmhouses, mountain retreats, heritage buildings, outdoor spaces — have patchy or no internet. Tikkit's offline mode was built for exactly this.
How it works:
- Open the check-in screen while you have internet (before the event starts)
- Tikkit downloads your complete guest list to the device
- You can now scan and check in attendees with zero internet connection
- All check-ins are recorded locally
- When connectivity returns, data syncs automatically to your dashboard
Important: Open the app and load the guest list while you still have internet — ideally 30–60 minutes before guests arrive. Don't wait until you're already at the venue.
Multiple Check-In Staff
For larger events (100+ people), you'll want multiple people scanning. You can add team members to your Tikkit event with check-in access — they each log in on their own device and scan independently. All check-ins across all devices sync to the same live dashboard.
Setup: Go to your event → Settings → Team → Add member. Give them the check-in role (not full organiser access).
Live Dashboard — Seeing Check-Ins in Real Time
While check-ins are happening, your dashboard shows:
- Total checked in — live count
- No-shows — registered but not arrived yet
- Check-in rate — percentage of registered attendees who have arrived
- Recent arrivals — scrolling feed of who just checked in
This is useful for catering (know when 80% of guests have arrived), for VIP management (get notified when key guests check in), and for managing latecomers.
Handling Walk-Ins
If someone arrives who isn't on your guest list, you have two options:
- Manual check-in — search their name and tap "Add walk-in." They're added to the list and marked as checked in.
- On-the-spot registration — if you're accepting paid walk-ins, direct them to your event link on their phone to register and pay before entering.
Set your walk-in policy before the event and brief your check-in staff. "We're full" is a complete answer — the capacity limit you set is there for a reason.
The Post-Event Report
Once your event ends, Tikkit generates an automatic report with:
- Final headcount — how many checked in vs. registered
- No-show rate
- Check-in timeline — when the rush happened (useful for future events)
- Ticket type breakdown — which ticket category was most popular
Download it as a PDF or CSV for your records, client reports, or sponsor summaries.
Tips for a Smooth Event Day
- Dry run the day before. Open the app, load the guest list, test a scan. Discover any issues before 300 people are queuing.
- Have a backup. Download the guest list as a PDF the night before. If all technology fails, you have a paper list.
- Position your check-in properly. The scanner needs to face the entrance, not the crowd. Set up a small table or dedicated check-in zone.
- Greet people, don't just scan. The check-in interaction sets the tone. A smile and a "welcome" make the technology invisible.
FAQ
Does the check-in work on any smartphone? Yes — Android and iOS, running relatively modern OS versions. The camera-based QR scanner works on any device with a decent camera.
What if an attendee doesn't have their QR code? Search their name in the check-in screen and manually mark them as arrived. You can also look up by email or phone number.
Can I set different check-in zones for different ticket types? Yes. VIP tickets can be configured with a different check-in flow so your staff can direct people to the appropriate entrance.
What happens to walk-in data? Walk-ins are added to your guest list and appear in the post-event report. If they paid on-site, the transaction is also recorded.
Can I restrict check-in to a specific time window? Yes. You can set the check-in window to open at a specific time (e.g., 1 hour before the event) and close after the event ends.
